Humanitarian software: one connected system vs a stack of point tools
Most organisations run four or five tools that do not talk to each other. Here is how to think about the trade-off between best-of-breed point tools and a single connected system.
The typical stack
A common setup is an M&E platform for indicators, a cash-and-voucher tool for distributions, a CRM for donors, and an accounting package for finance — with spreadsheets filling the gaps. Each tool is good at its own layer. The cost is at the seams: data is re-entered, figures disagree between systems, and no one view shows a grant end to end.
Where point tools stop
- Program layers (assessments, distributions, indicators) rarely connect to the back office (procurement, inventory, finance, HR).
- The same beneficiary or budget line exists in several tools with no shared record.
- Approvals and evidence live in whichever tool created them, so audits mean hunting across systems.
- Protection and safeguarding often have no dedicated home at all.
What an integrated system changes
When the program layer and the back office share one record, delivery is linked to the grant that funded it, and reports assemble from live data instead of being rebuilt by hand. The trade-off is real: a single system may not match a specialist tool feature-for-feature in every niche, and migration takes effort.

Whether that integration outweighs best-of-breed depth is a judgement each organisation should make deliberately.
How to decide
- List the layers you actually run, then mark which of your current tools connect to which.
- Count how many times the same data is entered more than once.
- Estimate the hours spent reconciling figures before each donor report.
- Weigh that against the depth you would give up by consolidating.
